A wedding carries a hundred small questions. Here are the ones we hear most — and honest answers to each.
Visiting & Booking
Do we need an appointment to visit?
Yes — tours are private and by appointment, so you have the estate's full attention. You are welcome to bring your parents, your maid of honor, or whoever helps you decide. We will walk the gardens, the West Garden Patio, the dining room, and the guest rooms together, with time for every question you carry.
Why does a tour matter?
Because no photograph carries the whole of it. Standing in the gardens is how you know the estate fits your vision, your guest count, and the day you picture — and it is the easiest place to ask everything at once.
We live out of state. Can we still tour?
Of course. We are glad to arrange a virtual walk-through by video call, and to save your questions for a visit whenever your travels bring you to Louisiana.
How far ahead should we book?
Popular spring and fall dates can book well in advance. If you have a month or date in mind, it's worth asking sooner rather than later.
Can you hold a date for us before we sign?
Yes. An available date may be held for 72 hours with a $250 non-refundable Date Hold. If you book within those 72 hours, the $250 is applied toward your $1,500 Booking Retainer. If you decide not to book, the hold expires, the date is released, and the $250 is retained.
How do we secure our date?
A signed agreement and a $1,500 Booking Retainer reserve your date. If you first placed the optional $250 72-Hour Date Hold, that amount is credited toward the $1,500. Within 30 days of booking, your total payments are brought to 25% of the contracted event price, with the remaining balance divided into milestone payments. Final payment is due 30 days before the event.
Can we set up a payment plan?
Yes. We offer milestone payment plans, so you can spread the cost across the months leading up to your day.
What forms of payment do you accept?
We accept the payment methods provided with your booking instructions. Some payment methods may carry a processing fee; any applicable fee is disclosed before payment. Fee-free payment options, when available, are identified with your payment instructions.
The Collections & Pricing
What does a collection include?
All three collections are all-inclusive: exclusive use of the estate — the East Garden, the West Garden Patio, and the dining room — cuisine by The Southern Spread, the wedding cake, beverage and bar service, tables, chairs, linens and floral centerpieces, a coordinator for your day, and all of the setup and cleanup on either side of it.
The Signature also includes curated florals, a DJ, and an officiant; on the Elopement and the Micro, those can be added. Prefer to bring your own florist? You're welcome to bring in an outside florist at your own expense. And every couple receives a complimentary weekday bridal portrait session at the estate.
What makes The Caldwell different from other venues?
What makes the Caldwell different is how much can happen in one place, with one team. Your ceremony, reception, cuisine, bar, cake, coordination and overnight accommodations can all come together here, with the details tailored around your day rather than forcing your wedding into a preset formula.
Can we customize a package?
Yes, warmly. Every collection is a starting point rather than a mold. The menu and flow of the day are shaped with you, and Signature couples choose from our curated floral collections, with additional design enhancements available.
Can we upgrade to a larger collection later?
Yes, warmly. If the guest list grows, your collection can grow with it — we will simply move you to the one that fits.
Is tax included in the price?
Yes. The price you are quoted already includes tax.
Are there hidden fees?
No hidden venue or collection fees. Taxes are already included in our published pricing, and any upgrades, enhancements, additional guests or other Client-selected charges are discussed and put in writing. Payment-processing fees may apply depending on how you choose to pay and are disclosed before payment.
Does the price change with our guest count?
Each collection is built for a guest range — up to 20, 50, or 100 — and your collection and final count are confirmed together. Starting prices are on the Weddings page; complete pricing is shared at your private showing.
Do you offer smaller weddings and elopements?
Yes, gladly. The Elopement is built for up to 20 guests and the Micro for up to 50 — each with the whole estate and the same care as the largest celebration.
What is the guest capacity?
Our current wedding collections are designed around guest counts up to 20, 50 and 100. Larger receptions or custom events may be possible depending on layout, rentals, weather planning and event design. Tell us what you're planning and we'll confirm the best fit.
How does an all-inclusive wedding compare with booking everything separately?
When you build a wedding one vendor at a time, the venue is only the beginning. Catering, bar service, cake, linens, coordination, florals, entertainment, setup and cleanup can all become separate contracts, separate decisions and separate costs. Our wedding collections bring many of those pieces together in one experience, so you can see what your day includes from the beginning — and spend less of your engagement managing vendors.
Do you offer weekday or off-season rates?
Our collection availability varies by day. The Elopement is offered Sunday through Thursday. The Micro is offered Sunday through Friday, with Saturday Micro dates available at a premium rate and subject to availability. Signature celebrations are quoted according to the collection and selected enhancements. Ask about your date and we'll show you the options that fit.
Is the complimentary bridal portrait session really included?
Yes. Every couple receives a complimentary weekday bridal portrait session at the estate — a quiet afternoon in your gown with your photographer, before the day itself arrives.
The Wedding Day
How long do we have the estate?
Wedding-day access is from 9:00 AM to 11:00 PM, giving you plenty of time for getting ready, the ceremony and the reception without rushing the day.
Is a coordinator included?
Yes. Day-of coordination is included in every collection — one of our own keeps the timeline, the vendors' questions, and the small surprises, so no one in your family works your wedding.
When does the music end?
Music winds down by 11:00 PM, out of courtesy to our downtown neighbors.
Where does the wedding party get ready?
On site — an upstairs Bridal Suite and a separate downstairs Groom's Suite give both sides of the wedding party their own place to dress and get ready without a morning drive across town.
What time can we access the dressing suites?
The estate opens to you at 9:00 AM on your wedding day, so the dressing suites are ready from the moment getting-ready begins. We set the exact timeline with you as the day comes together.
Is there a rehearsal?
Yes. A rehearsal time is arranged before your wedding day, so everyone walks it through in advance and the day itself begins already familiar.
When can our vendors and photographer arrive?
Standard vendor and setup access begins at 9:00 AM on the event day unless another time is arranged with your coordinator in advance.
Can the ceremony be indoors or outdoors?
Yes. Say your vows outdoors in the gardens or on the patio, or indoors in a gracious room — with the West Garden Patio standing ready besides. Every setting is yours to choose.
Can the ceremony and reception be in different spaces?
Yes. Most days move through the estate as the evening does — the gardens and the patio for the ceremony and cocktails, the West Garden Patio and the dining room for dinner and dancing. All of it is included.
What if we are having a church wedding and only want the reception here?
Absolutely. Reception-only celebrations are welcome. Tell us your ceremony plans and we'll shape the timing, spaces and right Caldwell experience around the reception you're planning.
What if it rains?
Your wedding proceeds rain or shine, and we plan for weather with you in advance. If weather prevents use of a planned outdoor area, we'll work with you to relocate the affected portions of the day to available indoor or covered spaces at no additional venue fee. If preserving an outdoor layout is important to you, professionally installed tenting may be arranged at your expense, subject to rental-company availability and deadlines. Premium tents, chandeliers, draping and specialty lighting are available as paid enhancements.
Who handles setup and cleanup?
We do — all of it, in every collection. The estate is set before you arrive and cleared after you have gone; nothing is left to your family.
Dining & Bar
Who caters the wedding?
Cuisine by The Southern Spread is included in every Caldwell wedding collection. The Southern Spread is the hospitality team behind the Caldwell and handles the food and service for most of our weddings.
Can we use an outside caterer?
Yes. If you prefer another licensed caterer, you may use an approved outside caterer for a $400 outside-catering fee, along with any required insurance and venue requirements. Because Southern Spread catering is already built into the collection, choosing another caterer does not reduce the collection price.
Can we customize the menu?
Yes. You will build your menu with The Southern Spread, and we are glad to begin that conversation as early as your first visit.
Is there a bar?
Yes. Standard beverage and bar service is included in every wedding collection and includes water, soft drinks, beer and house wine. Upgraded bar options are available for an additional charge.
Can we bring our own alcohol?
No. Alcohol service is handled under The Southern Spread's alcohol permit, so outside alcohol is not permitted. If you want a particular wine, spirit or specialty bar option, ask about available upgrades through The Southern Spread.
Do you offer tastings?
We talk menus in detail as your day gets closer. Tastings are not part of every collection, so ask your planner and we will let you know what we can arrange.
Décor & Details
Do you provide tables, chairs, linens and centerpieces?
Yes. Tables, chairs, linens and floral centerpieces are included in every wedding collection and are set before you arrive. Food and beverage service uses high-end disposable serviceware rather than traditional china place settings.
Can we personalize the décor that comes with the rental?
Yes. Caldwell's signature white, cream and green floral décor gives you a beautiful starting point, and Signature couples may choose from our curated silk floral collections for wedding-party flowers. Additional aisle florals, ceremony florals and other design enhancements are available if you want to personalize the look further.
Can we bring our own vendors?
You're welcome to bring approved outside vendors at your own expense. If your Caldwell collection already includes that service — such as catering, cake, florals, DJ or officiant — choosing your own vendor does not reduce the collection price or create a credit. Outside catering also carries the $400 outside-catering fee.
Are there any décor guidelines we should know?
Only a few, and all of them are about protecting a house that has stood since 1907. Your planner will go through the short list when you book.
Can we decorate or drop off décor the day before?
Possibly. Day-before décor drop-off or setup depends on the event calendar and must be arranged with the Caldwell team in advance. Standard wedding-day access begins at 9:00 AM.
Staying the Night
Can our guests stay overnight?
Yes. The inn holds six guest rooms in the main house — so the wedding party and out-of-town family can stay right where the wedding is.
Can we stay the night of our wedding?
Yes. Overnight accommodations may be reserved separately, subject to availability. Many couples choose to stay right here in the main house and wake to a quiet morning on the grounds.
Can we reserve the whole inn?
Yes. Reserve all six rooms and the whole inn is yours alone for the weekend — no other overnight guests, just your people under one roof.
Is breakfast included with our stay?
The Caldwell operates as a historic inn rather than a traditional bed & breakfast. Complimentary coffee is available for overnight guests, and light grab-and-go breakfast items may also be offered. A prepared hot breakfast is not included with a standard room stay.
Getting Here
Where is The Caldwell House?
105 East Vermilion Street, in the heart of downtown Abbeville, Louisiana — where the house has stood since 1907.
Is there parking?
Yes — on-site parking, just steps from the gardens.
Where can out-of-town guests stay?
At the inn itself, first — six rooms right on the grounds. Beyond the estate, downtown Abbeville is walkable, with more close at hand.
Good to Know
Are candles allowed?
Candlelight is welcome, kept safely enclosed. We will go over the particulars when you plan your décor.
Are sparkler send-offs or special exits allowed?
Send-offs are part of the fun. A few take a little planning for safety and for our downtown neighbors, so bring your idea to your planner.
May our dog be part of the ceremony?
Pets may be included in the ceremony with prior written approval and a designated handler who removes the animal afterward. Service animals are welcome as required.
Are children welcome?
Warmly, yes. This is a house built for family — little ones included.
Are all couples welcome?
Yes. Every couple, and every love story, is celebrated here.
Are cultural or faith traditions welcome?
Yes, gladly. We welcome the traditions of your family and your faith, and we will help you weave them into the day.
Is event insurance required?
Event-insurance requirements are confirmed with you during booking based on the details of your event. We'll let you know exactly what documentation is required before your date.
Is the estate accessible?
Accessible entrances, restrooms and event spaces are available on the ground level. Because the Caldwell is a historic 1907 property, some areas of the estate may have accessibility limitations. Tell us about any accommodations your party needs and we'll help plan accordingly.
